Review Request Email Template
Most customers who had a great experience will leave a review — if you ask. The problem is that most review request emails are either too formal, too long, or buried in a weekly newsletter where they get ignored. This template is short, direct, and sent at the right moment: shortly after the transaction or visit. Customize the subject line and one sentence in the body, and your open and click rates will beat any generic blast.

Version 2 — Post-Service Follow-Up

Hi [CUSTOMER NAME], it was a pleasure serving you. As a small business, reviews mean the world to us — they help new customers find us and help us keep improving. If you enjoyed your experience, a quick review would mean a lot: [LINK]. No pressure at all — thank you either way.
When to use it
Send this email 1–3 days after the visit, purchase, or completed service — while the experience is still fresh. Avoid sending it in bulk to cold lists. It works best as an automated trigger from your CRM or booking system immediately after a transaction closes.
Customization tips
Subject line is the most important variable — test "Quick question about your visit" vs "How was your experience?" — the former consistently gets higher open rates.
One review link only. Multiple links (Google, Yelp, Facebook) reduce click-through. Pick your most important platform and link to that one.
Personalize the body with the specific service or product they purchased — "We hope your [SERVICE] went well" outperforms a generic opener.
Keep the email under 100 words total. Customers won't scroll. Get to the ask in 3 sentences.
When is the best time to send a review request email?
Within 24–72 hours of the experience, while it's still memorable. For e-commerce, after confirmed delivery works well. For service businesses, the day after the appointment or visit. Avoid Mondays and Fridays — Tuesday through Thursday afternoon gets the best open rates.
Should I offer an incentive for leaving a review?
No — Google, Yelp, and most platforms explicitly prohibit incentivizing reviews. Even a discount offer in exchange for a review can get your listing penalized. Just ask honestly. A genuine ask from a real person works better than a bribe.
How many times should I follow up?
Once is enough. A single follow-up email 5–7 days later is acceptable if they haven't responded, but more than two emails feels pushy and risks unsubscribes. Make the first email count.
